1. Explanation of Terms
“We” / “Us”: GoAsianTours.com.
“You”: The person purchasing the vacation and agreeing to these Terms on behalf of all travelers in the booking. If booked on behalf of a company, “you” means that company.
“Event”: Any element of a holiday booked with Go Asian Tours, including but not limited to accommodation, tours, activities, transport, flights, rail journeys, cruises, permits, attraction entry, guides, or local experiences.
By paying any deposit or fee, you confirm you’ve read and accepted these Terms on behalf of all travelers.

It is the responsibility of each traveler, or the lead passenger on behalf of all travelers, to read and understand the most up-to-date Terms & Conditions available on our website before booking.
These Terms & Conditions may change without prior notice.
2.3 Lead Passenger / Organizer
We deal primarily with the lead passenger for all communications, payments, and cancellations.
Other travelers may receive payment reminders and informational emails, but the lead passenger is legally responsible for the full booking.
The lead passenger must be 18+, provide accurate details, and share updates with their party.
2.4 Children & Minors
2.5 Confirmation
We confirm accommodation, or similar accommodation of the same or higher standard if the original is not available, and email you the details.
If anything is incorrect, notify us immediately. We may correct obvious errors.
3. Quotes & Prices
Prices are accurate when quoted but may change due to availability, events, exchange rates, destination fees, or supplier updates.
After booking, prices may change only if supplier costs, taxes, government fees, local charges, exchange rates, or transport costs increase.
Any change will be notified at least 30 days before departure where possible.
4. Payments
4.1 Deposits
Standard: 30% of total trip price.
Some services, including but not limited to flights, rail journeys, cruises, event tickets, special accommodation, permits, transport, guides, excursions, or destination-specific experiences, may require full payment upfront. These amounts are non-refundable and flagged at booking where applicable.
Deposits are non-refundable. In some cases, they may be transferable to another date or traveler.
Special low-deposit offers, such as 10/10/10 staggered deposits: balance of the full 30% is due within 2 months of initial payment. Failure to top up may result in cancellation and loss of payments made.
4.2 Balance Due Dates
Full payment is due once all bookings and arrangements have been confirmed, unless otherwise stated in your booking confirmation, invoice, or payment schedule.
Some services may require immediate payment or full payment upfront due to supplier terms. These may include, but are not limited to, flights, rail journeys, cruises, special accommodation, event tickets, permits, private guides, domestic transport, peak-season arrangements, or non-refundable local services.
We will issue payment reminders where possible; however, it remains the responsibility of the lead passenger to ensure all payments are made on time.
If the balance is not paid by the due date stated on your invoice or payment request, we reserve the right to treat the booking as cancelled by you. In such cases, cancellation charges will apply, and any deposits, non-refundable payments, supplier penalties, or other amounts already paid may be retained.
No travel documents, final itinerary, vouchers, tickets, or supplier confirmations will be released until the full balance has been paid and cleared.
For bookings with staged payments or special deposit offers, all scheduled payments must be made by their stated due dates. Failure to meet any scheduled payment may result in cancellation and loss of payments made.
4.3 Fees, Methods & Currency
A third-party payment processing fee, up to 5.5%, may apply to card transactions.
Payment methods: Bank Transfer; Credit Card via online portal or by phone.
Prices are in USD Dollar ($) unless otherwise stated. Non-United States Dollar amounts shown are estimates only; you are responsible for currency conversion, bank charges, and any charges applied by your card provider or bank.
Prices may include applicable taxes where required. Local taxes, resort fees, city taxes, environmental fees, service charges, tourism levies, visa fees, entry permits, departure taxes, or other local charges may be payable locally and are the responsibility of the traveler unless expressly included in your package.
5. Special Offers
Apply only to Self-Drive, Private Escorted, Tailor-Made, or Escorted packages unless offered by third-party providers.
Direct, non-commissionable bookings only.
Not combinable with other discounts.
6. Cancellations by You
6.1 How to Cancel
The lead passenger must cancel in writing. Email is acceptable.
If booked via an agent, the agent must notify us.
Cancellation takes effect when we confirm receipt.
We issue a cancellation invoice within 14 days; contact us if not received.
6.2 Deposits
6.3 Cancellation Charges
As stated in Section 6.2 Deposits, deposits are always non-refundable unless your tour is cancelled by us.
Cancellation charges are based on the total trip cost and the date written notice of cancellation is received:
- 35+ days before departure: Loss of 30% deposit
- 34 – 15 days before departure: 50% of total trip cost
- 14 – 7 days before departure: 75% of total trip cost
- 6 – 1 days before departure: 90% of total trip cost
- Day of departure / no-show: 100% of total trip cost
6.4 Refunds
Refunds are subject to a 10% handling fee.
No refunds for non-attendance, early departure, unused services, missed services, or late arrival.
Non-refundable extras, including but not limited to flights, rail tickets, cruises, permits, event tickets, excursions, attraction tickets, special experiences, guides, and transport, are always charged in full.
Supplier penalties, including but not limited to hotels, airlines, rail companies, cruise operators, attractions, guides, transport providers, local operators, and destination management companies, may apply up to 100% in addition to the above.
For third-party operated tours, cruises, rail journeys, or escorted group tours, stricter provider terms may apply in addition to ours.
6.5 Transfers & Amendments
You may transfer a booking if:
- You authorize the transfer in writing;
- The new traveler accepts these Terms;
- The new traveler has valid travel insurance, noting that insurance is not transferable; and
- All fees are paid.
If a new lead passenger fails to pay, the original lead passenger remains liable.
6.6 Amendments
Changes you request to your trip less than 100 days before arrival may incur amendment fees.
Party size changes at any time may change per-person costs.
If new arrangements are cheaper, no price reduction applies.
If you are unhappy with a booking, notify us within 48 hours of confirmation.
7. If We Cancel or Change Your Booking
We may cancel if minimum numbers are not met, if a supplier cancels an essential service, if destination conditions prevent travel, or if you fail to pay on time.
If we cancel for reasons within our control, you may choose a refund or, if available, a replacement trip of equivalent standard and price.
We may need to make changes, including but not limited to schedules, hotels, routes, guides, flights, transport, activities, or local arrangements. We’ll notify you as early as possible.
8. Tour Inclusions
8.1 Escorted Tours & Drivers
Includes, where specified in your itinerary: driver/guide, vehicle, accommodations, breakfasts, attraction entry, sightseeing, tolls/road fees, and dining advice.
Daily driving and guiding limits may vary by destination, vehicle type, local law, safety requirements, and supplier policy. Drivers and guides cannot exceed legal or safe operating limits.
Typical start times vary by destination and itinerary.
Some attractions are self-guided; drivers or guides may wait outside where required by attraction rules, parking restrictions, or local regulations.
8.2 Self-Drive Packages
Includes, where specified in your itinerary: accommodations, breakfasts, rental car, compulsory insurance where available, mileage allowance where included, breakdown cover where available, and personal itinerary.
Driver requirements vary by destination and rental provider. You may require a valid credit card in the main driver’s name, a valid driving licence held for a minimum period, an International Driving Permit, and compliance with local age restrictions. Some vehicles or destinations may require drivers to be over a specific age or may apply young or senior driver surcharges. Contact us if you are outside the stated age range or unsure of destination requirements.
Self-drive travel may not be available or suitable in all Asian destinations. Where self-drive is not advisable or permitted, private transfers, drivers, trains, flights, or guided transport may be offered instead.
8.3 Coach Tours, Rail Tours, Cruises & Third-Party Operated Tours
May include flights, hotels, transport, activities, meals, guides, rail journeys, cruises, or other services as specified by the provider.
Subject to the provider’s terms, cancellation policies, operating rules, and local regulations.
9. Insurance & Liability
Travel insurance is mandatory for all travelers and must cover accidents, medical expenses, evacuation, cancellations, delays, missed connections, baggage loss, and all activities included in your itinerary.
You are responsible for ensuring your insurance covers all countries visited, including any stopovers or connecting destinations.
We are not liable for injury, loss, or damage caused by suppliers; delays or cancellations; strikes; war; weather; government actions; border closures; visa issues; quarantine; pandemics; force majeure; or other circumstances beyond our control.
Tour passengers are insured as passengers in vehicles we provide or arrange only where such insurance is required and provided by the relevant operator. Independent transport outside the tour is not covered.
For third-party operated tours, cruises, rail journeys, flights, or activities, we act as agent; liability rests with the provider.
10. Conduct & Accommodation
10.1 Conduct
We may refuse service or end your arrangements if behavior is disruptive, abusive, threatening, illegal, unsafe, culturally inappropriate, or likely to cause harm, offence, or damage. No refunds apply. You are liable for damages and any costs arising from such behavior.
You are responsible for complying with local laws, customs, dress codes, religious site rules, visa conditions, health requirements, and instructions from guides, drivers, accommodation providers, transport operators, or local authorities.
10.2 Accommodation
Only named travelers may use reserved rooms.
You are responsible for any damage or costs caused.
Room allocation, layout, bedding type, smoking policy, facilities, and check-in rules are at the hotel’s discretion.
A valid credit card or cash deposit and photo ID may be required at check-in. We are not responsible for recovering such deposits.
Hotel standards, room sizes, facilities, and service levels may vary by destination and may differ from European or North American standards.
11. Alterations by Us: Safety / Force Majeure
We may cancel, reschedule, reroute, substitute, or amend arrangements if safety, access, availability, local conditions, or operational requirements are affected.
Refunds do not apply where cancellations, changes, delays, or interruptions are due to force majeure, including but not limited to war, terrorism, riots, civil unrest, pandemics, epidemics, government action, border closures, visa restrictions, natural disasters, industrial disputes, technical failures, overbooking, quarantine, flight cancellation or misconnection, extreme weather, transport disruption, lack of medical care, or supplier failure beyond our control.
If we cancel for reasons not covered above, we will refund all payments you made.
12. Complaints
Please raise any complaints or concerns in writing as soon as possible so we can help resolve them promptly. Complaints can be directed to your sales agent, who can escalate to management.
Where an issue occurs during travel, you must also report it locally to the hotel, guide, driver, supplier, or local representative at the time so they have the opportunity to resolve it.
13. Privacy Statement
We collect:
- Feedback;
- Newsletter sign-ups;
- Site usage data, including cookies and logs;
- Booking information required to arrange travel services.
We may share necessary personal data with suppliers and service providers only where required to operate your booking, including but not limited to hotels, transport providers, guides, local operators, airlines, rail providers, cruise operators, and destination management companies.
Our site may link to external websites; their policies apply.
14. Passport, Visa, Health & Entry Requirements
You are responsible for ensuring that all travelers have valid passports, visas, entry permits, vaccination records, health documents, transit documents, and any other documentation required for every country visited or transited.
Passport validity requirements vary by destination and may require at least 6 months’ validity beyond your travel dates.
We are not responsible for denied boarding, denied entry, delays, additional costs, cancellation charges, or loss of services arising from incomplete, invalid, incorrect, expired, or missing travel documents.
Health, vaccination, medication, and travel advisory requirements may change at short notice. You are responsible for checking current official advice before departure.
